An Individual Taxpayer Identification Number is for someone who needs a US taxpayer identification number for a federal tax purpose and is not eligible for a Social Security number. A foreign passport, visa category or family relationship alone does not establish eligibility.
Confirm the federal tax purpose
Form W-7 asks why you need an ITIN. Applications generally accompany a federal tax return, unless a documented exception applies. Spouse and dependent applications need particular care: identify the actual tax purpose rather than assuming that everyone listed in a family needs an ITIN. Start with IRS Topic 857 and the Form W-7 instructions.
Prepare acceptable identity documents
The IRS requires evidence of identity and foreign status. Documents generally must be originals or copies certified by the issuing agency. An ordinary scan or notarized copy is not generally a substitute. Special document rules and exceptions apply, including for some military families and dependents.
A current passport can satisfy identity and foreign-status requirements, but some dependent applications also need proof of US residency. Check the complete IRS supporting-document rules before choosing documents or sending an original passport.
Choose an application route
Options include mailing the package under the W-7 instructions, using an IRS Taxpayer Assistance Center that offers ITIN services, or working with an IRS-approved agent. A Certifying Acceptance Agent can authenticate certain documents; an Acceptance Agent does not have the same authentication role. Authentication limits still apply.
Use the IRS application options to compare routes and find authorized providers. Confirm the named provider, authorization and document process before relying on any offer to retain your original documents.
Checklist for an initial consultation
- Explain the federal tax purpose and the tax year involved.
- State whether this is a first application, renewal or response to an IRS notice.
- Identify whether the applicant is the taxpayer, spouse or dependent.
- Describe available identity documents and whether they are current.
- Flag travel plans that affect access to an original passport.
- Ask which preparation, authentication, mailing and follow-up services are included in the quote.
Use the client portal for documents after confirming the process. Do not include passport scans or taxpayer identification numbers in a general enquiry.
Processing and renewal questions
IRS processing estimates vary with season and whether you apply from abroad. Check the current application guidance rather than treating a fixed turnaround as guaranteed. The IRS may request additional information or reject an incomplete application.
An ITIN can expire after three consecutive tax years without use on a federal return. Renewal depends on whether it is needed for a federal tax purpose; check the current instructions and any IRS notice before applying. Receiving an ITIN does not establish eligibility for a particular deduction or credit.
